The day's payments, balanced at close

Taking payment is the one moment of the day when a clinic's calendar and its money have to talk to each other, and they almost always live in different programs: the appointment in one, the receipt in another, and someone reconciling by hand at night. What gets lost there isn't minutes: it's the payments nobody wrote down.

In ClaudIA you charge the treatment from the appointment itself, with one or several payment methods, and the receipt comes from there — printed, over WhatsApp or by email, with your clinic's name on it and not ours.

At close you count the cash and the till tells you whether it balances. Each currency is counted separately and they are never added together: a clinic taking dollars and the local currency sees both counts clean, with the rate applied to each payment.

How it works

  1. You open the till at the start of the day, noting how much you start with.
  2. Each appointment is charged from its own card: one or several methods, in whichever currency the patient uses.
  3. The receipt prints, goes out over WhatsApp or by email, carrying the clinic's identity.
  4. At close you count the cash and the till flags the difference, currency by currency.
  5. The day's summary reaches your WhatsApp as soon as you close.
An eight o'clock close
The clinic charged eleven treatments: nine in local currency and two in dollars, one of them split between cash and transfer. At close, whoever is on reception counts the drawer and types the figure. The till balances in dollars and flags a small difference in local cash, which is recorded with its note. The summary reaches the owner's WhatsApp without anyone asking for it.
