Dental emergencies: prioritising them without wrecking the day

An emergency handled well creates a patient loyal for years. An emergency squeezed in badly delays five people and leaves the whole team feeling they spent the day playing catch-up.

The goal isn't to say yes to everything, but to have decided in advance what happens — so you're not improvising with the calendar in front of you and the phone ringing.

Hold time, even if it feels like a luxury

The most effective measure is also the hardest to accept: leaving one or two short appointments a day unbooked, for whatever arrives. If they haven't been used by mid-afternoon, they go to the waiting list and nothing is lost.

Without that margin, every emergency forces you to steal time from appointments you've already committed to — and that's a future no-show in disguise.

Sort by what the patient says, not by what you assume

Reception doesn't assess clinically, and quite right too: it takes down what the patient says, in their own words, and passes it on. Pain, swelling, a knock, bleeding. That's enough to decide the order in which people are seen.

What must never be done from reception — by hand or by an automated system — is reassuring or alarming anyone about their case. Neither «it doesn't sound serious» nor «that sounds bad». That's said by whoever looks in the mouth.

The waiting list is your best tool

If there's nothing free today, the emergency goes onto the waiting list with priority: when somebody cancels, that time is theirs before anyone else's. That way a cancellation stops being a loss and becomes the solution of the day.
