In many clinics the team doesn't always see patients at the same time of day. One week the dentist works mornings and the next afternoons; the hygienist does the opposite so there's always someone in. It's a fair way to share the afternoons, but it has a hidden cost: somebody has to redo the schedule every Monday.
And when the diary is also run by an assistant that books over WhatsApp at any hour, that schedule is no longer an internal note: it's what the patient sees and books. On a Monday when nobody updated the rota, the patient gets an appointment with a dentist who is on afternoons that week.
How to set it up, once
First, the shifts and their hours: for example, «Morning», Monday to Friday 9:00 to 15:00, and «Afternoon», 15:00 to 21:00. A day you don't tick, that shift doesn't work.
Then the cycle: how many weeks it repeats over (with two, it's one week of each shift) and which week this is. You don't need to know when the rotation started; just say who is on mornings this week.
Finally, who rotates and which shift they work each week. Anyone outside the rotation — the clinical director who always works the same hours, for instance — keeps their usual schedule. Before saving you see the next eight weeks, person by person: exactly what the assistant will offer.
What changes by itself every week
| Schedule redone by hand | Rotating shifts | |
|---|---|---|
| The times the assistant offers | Those of the schedule that was entered, even if it's last week's | Only the hours of each dentist's shift that week |
| The diary | You have to check the rota to know who's in | It shades out what isn't each person's |
| Two dentists swapping a shift | The schedule is redone and undone the next day | One dated, one-off change |
| Holidays and absences | One more exception to remember | They take priority over the shift, with nothing to touch |
What isn't lost
Each professional's weekly hours stay saved. While shifts are on, the shift rules; if they're ever switched off, everyone goes back to their usual hours with nothing to set up. And if someone in the rotation leaves the clinic, the screen warns you to take them out, instead of leaving a half-finished shift.
Why it matters more in a clinic
In a clinic, a scheduling mistake isn't just an empty chair: it's a patient who took the afternoon off work to come in, or a check-up that falls through and is never rebooked. Trust in the clinic starts with something as simple as the appointment being with whoever is really there.
ClaudIA reads the shifts when offering every appointment, at eleven at night too, and in the week nobody checked the rota. The clinic's rules live inside the diary, not in the memory of whoever opens up in the morning.
