What AI gives back to your dental clinic, in your own figures

Updated 2026-10-19 · 3 min read

«Artificial intelligence saves time» is a line that no longer convinces anyone. What helps you decide is something else: how many appointments the assistant booked at your clinic last week, how many came in while the clinic was closed and how many hours of front-desk time it gave back to the team.

If those figures don't come from your own diary, they're marketing. If they do, the decision is easy.

Every morning: what it did yesterday

The morning summary reaches the clinic's alerts WhatsApp without being asked for. As well as the day's diary, it tells you what ClaudIA did the day before: the appointments it booked, what they represent and how many came in outside the clinic's opening hours.

That last figure is the most revealing. Saturday-night or Sunday bookings are the ones that, without an assistant, would have been an unanswered message until Monday — and often a patient booking at another clinic. «Out of hours» is measured against the clinic's real hours that day, not an invented time band.

In Reports: the time it has given back

Reports brings together two sections that are read side by side. The first, the appointments ClaudIA booked and their value, compared with the previous period. The second, the time saved: the conversations the assistant handled on its own, without passing them to the team, times the minutes each one takes your front desk.

You set those minutes. If at your clinic answering, finding a time and confirming takes seven minutes on average, you put seven. With 300 conversations resolved a month at five minutes each, that's 25 hours of front-desk time: more than three working days the team spends on the patient in front of them.

Campaigns measured by the bookings they bring

Announcing summer hours, introducing a new dentist, writing to patients who haven't been in for a while: WhatsApp campaigns work, but hardly anyone knows how well. In each campaign's detail you see the messages that went out, who replied and the appointments booked by those who received it in the following 14 days, not counting cancellations.

The campaign can also carry an image — the new-hours poster, the dentist's photo — which arrives in the same WhatsApp with the text underneath. And it still respects the usual rules: never to anyone who asked not to receive communications, and always with spaced-out sends.

On Thursdays, a ready-made proposal

With WhatsApp commands switched on, every Thursday ClaudIA writes to whoever runs the clinic with next week's days that have the most free time and a message prepared for the patients who are drifting from their usual visit pattern. If it looks right, you reply «yes» before 21:00; if you don't reply, nothing goes out.

The decision stays with the clinic. What ClaudIA takes away is the work of preparing it.
