How many patients you lose by not answering the phone

In a dental clinic the front desk isn't sitting there waiting for calls: it's walking a patient to the chair, sterilising, taking a payment or dealing with something unexpected. The phone rings at the worst possible moment, and sometimes it simply can't be answered.

Somebody ringing to book an appointment who gets no answer rarely tries again. They ring the next clinic. They don't complain and they don't leave a message: they just stop existing for you.

The sum, without exaggerating

Do the maths with your own numbers and without optimism. Count how many calls or messages go unanswered in a normal week. Estimate how many of those were first visits. Apply the average value of a new patient at your clinic — not the value of a big treatment, the average one.

The result usually surprises people for two reasons: it's higher than expected, and it repeats. It isn't one week's loss; it's the same loss every week of the year. And be wary of anyone who hands you a fixed industry percentage: it depends on your volume and on how many people are on the desk, so the only figure worth acting on is yours.

Why hiring somebody doesn't always solve it

One more person helps, but the problem has the shape of peaks: messages don't arrive evenly, they arrive all at once, first thing and at the end of the afternoon. And they keep arriving when the clinic is closed, which is exactly when a lot of people have time to write.

That's why what works best isn't more hands doing the same thing, but taking the repetitive conversations off the table: opening hours, guide prices, booking an appointment, moving it, cancelling it. That frees your team for what genuinely needs a person.

What to do this week

Start by measuring: for five days, note the missed calls and the unanswered messages. Without the number there's no decision, only an opinion. Almost always a specific stretch of the day shows up that can be covered without reorganising the whole clinic.
