Families at the practice: one phone, several patients

In most businesses one phone is one person. In a dental practice one phone is, very often, a whole family: the mother handles her own appointments, her small son's and her elderly father's from the same WhatsApp.

It looks like an administrative detail. It's exactly where a system built for practices separates from one recycled from another kind of business.

What happens when the system doesn't allow for it

A single record gets created for the phone number. The name is overwritten as it goes: today it says the mother, tomorrow the son. Three people's treatments end up mixed in one history.

Reminders turn ambiguous: «a reminder about your appointment tomorrow» when the appointment is the son's. And the check-up recall breaks completely, because three different people's recall intervals can't be worked out from a single record.

The result is a database that looks full and is no use for deciding anything.

How it should be handled

Each person, their own record and their own history, even sharing a phone. Whoever writes is the contact holder and can manage their family's appointments, but each appointment belongs to one specific patient.

In the conversation that turns into a natural question: «is the appointment for you or for somebody in your family?», offering the names already known. And in the reminders, always saying whose appointment it is.

All you need from the family member is the name. No medical data and no date of birth, unless the practice needs to identify a minor.

What you gain

Clean histories, reminders that don't confuse anybody, and a recall that works per person and per treatment. And something less visible but important: the family feels the practice knows them, which is half the battle of loyalty.
