Dental CRM: what it is, what it should do, and how it lives with your software

Almost every practice has management software: clinical notes, charting, invoicing. And yet the relationship with the patient — the messages, the reminders, the «they haven't been in for a year» — usually lives outside it: in reception's WhatsApp, in the memory of whoever has been there longest, and in lists somebody prints out now and then.

That missing layer has a name: CRM (customer relationship management; in a practice, patient relationship). It doesn't replace your management software — it does the work that software doesn't do: keeping the relationship alive between visits.

What a dental CRM should really do

A live record from the first message. Everyone who writes is registered with their conversation, their appointments and their preferences, without anybody typing anything. A CRM you have to fill in by hand is a to-do list in disguise.

Where each new patient came from. Google, Instagram, word of mouth? If the system doesn't note it by itself from the first contact, that data won't exist — and without it, deciding where to invest in getting patients is a bet.

Reminders that ask for an answer. Confirm, change or cancel by replying to the message itself. The difference between «informing» about a no-show and «managing» it is exactly that reply.

Recall: your patient base working. Spotting who has gone too long without coming and inviting them to their check-up, sensibly (one invitation, one gentle reminder, then stop). It's the part of the CRM that pays for the rest.

Measurement without spreadsheets. Appointments, no-shows, confirmations, recalls converted, where the new ones came from. If the numbers don't come out of the system on their own, nobody will look at them in February.

And my management software? It stays

The usual question isn't «which CRM do I choose?» but «do I have to drop the software I've been using for years?». The short answer: no. The management software is the clinical and administrative backbone (notes, charting, invoicing) and it does that well; the conversational CRM works in front of it, on WhatsApp, where the patients are.

Living together in practice has two bridges. The first, the calendar: if the practice works with Google Calendar, every appointment the assistant books appears there straight away and the team keeps looking at the same calendar as always. The second, the data: an initial import brings your patient base across, and an export that's always available guarantees nothing gets locked in.

Importing your patient base: do it properly once

Every management program exports patients to CSV or Excel. With that file, a good import has to do three things: detect the columns (name, phone, email, last visit) even though every program names them its own way; normalise the phone numbers to international format, because that's WhatsApp's identity; and never duplicate or overwrite a record that already existed.

One detail separates a serious import from a naive one: being able to choose the key used to detect duplicates. The normal thing is to deduplicate by phone (it's the data WhatsApp uses and the one almost everybody has); but if your base comes with impeccable emails and half-finished phone numbers, deduplicating by email may suit your case better. The tool should let you decide — and tell you afterwards what it imported, what it skipped and why.

And the quiet prize: if the CSV carries each patient's last visit date, the recall can work from day one — without waiting months to build up new history.
